Hours: Monday – Friday 8am to 6pm. Weekends as needed for outstanding items; we expect the person in this position to work the hours necessary to successfully perform the items contained in this job description.
Supervisors: President and Director of Property Services
Responsibilities: Responsibilities include but are not limited to the following;
Construction/project management & administration as required, including but not limited to:
Contractor selection
Obtain bids—typically a minimum of three bids
On site project coordination
Set bid deadlines
Change orders
Punch lists
Act as owner’s representative
Design review
Reduce back log of projects and achieve 90% Completion Calendar success
Tracking all projects/tasks in the architectural pipeline
Maintain department project log and status daily, submit reports as required
Provide timelines for all projects, use of Microsoft Project or similar may be required
Demonstrate proficiency with project management software
Track project costs and responsibility
Expedite tenant build-outs as required
Expedite cost estimates for build-outs
Skilled in cost cutting and value engineering of projects
Meeting with contractors and vendors as required
Review space plans, site plans, details and permit drawings as needed
Field measuring
Obtaining product samples when needed, putting forth multiple selections and identifying selections that met owners criteria
Obtaining multiple bids and value engineer before submission
Negotiating contracts
Preparing and submitting documents for submittal to city or municipalities
Obtaining permits and inspections in a timely fashion
Work with local, city, state agencies on code compliance issues
Approving invoices or payments
Preliminary review of lien waivers
Letters and correspondence as required; write coherent, well thought out letters promptly
Document in the form of letters any disputes, potential disputes between Imperial Realty tenants, contractors and vendors
Coordinate proposed build-outs with leasing staff, property managers and prospective tenants
Put forth multiple, qualified bids and well thought out purchase orders including a bid summary sheet when submitting PO’s
Assist with various aspects of tenant move in and move outs
Inspect parking decks and parking structures
Walk building rooftops and inspect roofing, copings and flashing
Oversight of contractors and subcontractors
Show strong supervision and mentoring of others in the department if required
Obtain the production and accuracy levels required by IRC from others in the department
Maintain a daily log of time allocation and log out-of -office visits prior to appointments
Check voice mail and e-mail throughout the day and return calls promptly
Maintain phone communications at all times
Follow up on signage submittals to ensure timely response
Antenna/cabling project review and management
Consult on energy efficiency opportunities at IRC managed properties
Consult and layout interior and exterior design schemes as needed
Locate competitive new vendors and contractors
Assemble updated construction vendor contact list
Provide change orders for any contract changes
Change orders need to be approved prior to awarding
Excellent negotiation skills with contractors and vendors
Knowledge of City of Chicago, suburban building codes and procedures
Obtaining and reviewing certificates of insurance, waivers, change orders and payment requests
Approving invoices to contractors for work performed
Assist in maintaining product sample room
Completing tasks in a timely manner is paramount to the success of this position
